E-mailing at RRU
If you are wondering why members of the RRU community have an external "ZZ" e-mail address... read on!
Why are learners receiving multiple e-mail messages?
Each Learner has a Royal Roads e-mail address AND a custom recipient e-mail address, commonly referred to as the ZZ-e-mail account.
What is the ZZ- e-mail account?
This is their ‘alternate’ or personal e-mail address they provided at registration.
Why do we have a ZZ- e-mail account?
We use this to contact new Learners, Faculty and Staff before they actually have a Royal Roads computer account – this is where we send info regarding their new computer account and password resets. Also we offer a forwarding service (for Learners and Faculty) that, when enabled, will automatically re-direct all e-mail sent to their Royal Roads account directly to their personal e-mail account. This service is enabled by default and saves them from having to log into multiple accounts to collect their work, home and school e-mail IF they so choose. Not everyone chooses to do this – some people prefer to keep their home e-mail arriving in one box, their school e-mail in another and so on. In this case, they simply turn off the forwarding service. For these people in particular, having the same message appear in several places is troublesome.
So which e-mail account do I use when sending e-mail to a Learner, Faculty or Staff member with a ZZ- e-mail account?
When contacting any members of the RRU community, it is best to e-mail them at their Royal Roads account. This way, you don’t have to know where the mail is going. You send it & our servers ensure that it is delivered to the place they’ve chosen to read it.
If you send e-mail to the ZZ e-mail account (or worse, to both) , you’ve removed the recipient's ability to control how they process their e-mail. In addition, if e-mails are sent to both the regular e-mail account and the ZZ e-mail account, then the recipient will receive two messages if forwarding is enabled.
If there is a valid reason for you to send to their ZZ-e-mail account, then by all means, do so. In that case, however, please send ONLY to that account and do not copy the Royal Roads account as we are receiving complaints from people who are receiving duplicates.
